Featured Article ----------------------------------------------------------------- **How to Give a Team Presentation** by Allan Kaufman A team presentation is a presentation given by two or more people on a common theme. Different parts of the presentation are given by team members who are knowledgeable about their parts. For example, let's say a sales team consists of four members who will give a presentation on a new product. The team leader introduces the product. Then s/he introduces one team member to present the technical aspects of the product. Another team member presents the costs, benefits, and profits of the product. The third member presents a marketing strategy. Finally, the team leader summarizes and presents the call for action. Each team member may speak for 5 minutes to 20 minutes and the overall presentation may last from 30 minutes to 2 hours. I was part of a team presentation. The theme was retirement. The team leader set the stage. She gave the introduction. Then she introduced me to discuss "Life After 40," including my current retirement planning. After I spoke for 5 minutes, she introduced someone who had just retired from the navy after 38 years service. He spoke about his retirement and what he was going to be doing. Then a psychologist spoke on how people react to changes in their lives and how this relates to retirement. Lastly, the team leader summarized to end the presentation. So, this team's approach was to examine retirement from three viewpoints: (1) someone still working at his profession; (2) a person who had just retired from his profession and is retiring not to a rocking chair, but to a new business experience; and (3) a trained professional who studies peoples' reactions to changes in life, retirement being one of them. *Some Key Guidleines* -> Develop a concept that would better lend itself to a team presentation than one done by only one person. -> Assemble a team of speakers who can work together effectively. -> Plan out the presentation and consider the total presentation time available, times available for each team member (Note: Each team member may not need the same amount of time), and time for practicing. -> Make sure that each team member knows exactly what part of the presentation he or she is responsible for. This will prevent any unwanted overlaps. -> Allow plenty of time for each team member to prepare his/her part. -> All team members should use the same type or style of visual aids. The best way to ensure this is to design them together and use presentation templates to ensure design consistency. -> Each member should practice his/her part, and then the team should practice as a well coordinated unit. -> If possible, do a walkthrough of your presentation before an audience that you've selected and get feedback. Have the audience ask questions, and record the questions and answers. Later, refine the answers. If you have access to videotape equipment, use it. Team presentations take a lot more planning and are susceptible to complications, but they can be impressive and effective. Use the above guidelines to hone your team presentation. No Sweat Speaking(sm) Tip (Reducing Performance Anxiety) ----------------------------------------------------------------- **Take Stock of Your Fear** by Allan Misch I've always found that to get the right results, you must first define the problem. When you don't define the problem correctly, your solution doesn't solve the problem. The same principle applies to eliminating speaking fear. You first need to define the problem -- the causes of your fear -- completely, accurately, and honestly to achieve success. Sometimes, this is a daunting task, because you have to face a part of yourself that's uncomfortable to you. But it's necessary. Here's an approach. Write down every aspect of your fears and anxieties of which you're aware. For example, approaching the lectern, being introduced, writing the speech, thinking about the speech, making a mistake, being the center of attention, etc. Next, write down all the causes that may not be apparent to you, or that make you uncomfortable when you think about them. Such as, low self-esteem, parental disapproval, being told children should be seen and not heard, traumatic or abusive experiences unrelated to public speaking, insecurity, etc. Once you take stock of your fear, you're in a position to address its causes. You've defined your problem. Now you need to apply the right tool that'll help you nullify the effects of your problem and achieve success. Presentation Skills Tip ----------------------------------------------------------------- **Be a Marginal Speaker?!** by Allan Misch No, I don't mean a poor performer. I mean use the margins of your speaking notes effectively. At the lectern, you usually place your 8.5" x 11" notepaper against the bottom lip. If you use 1" top and bottom margins, your head and eyes move downward to the bottom edge of the lectern to read your notes. Now your audience is looking at the top of your head, and it takes more time and effort to raise your head and eyes to make eye contact with your audience. Instead, be a marginal speaker. Make the top and bottom margins .5" and at least 3" respectively. Now most of your notes will be closer to the top of your pages. I used to know someone, Fred, who annoyed the heck out of me. Just thinking about him or hearing his name, let alone seeing him, would push my anger, frustration, and stress hot buttons -- negative Stealth Communication that I call the Fred Phenomenon. Maybe you have someone in your life like Fred. Now Fred doesn't stress me out anymore, since I used a reframing process -- positive Stealth Communication -- to change how I mentally experience Fred. Here's how it works. Close your eyes. Picture your Fred in your mind's eye. Shrink him and put him in your outstretched palm. See him do a funny dance in your palm while you mentally hear amusing music, such as circus music. Then blow him out of your palm. Make him smaller and smaller, as you continue to blow him off into the distance, until he disappears. When you do this reframing exercise, your Fred will no longer stress you out. Why? Because you'll change the context of how you "experience" Fred. Fred won't change. It's his frame (your frame of reference), or context (how you see Fred), that'll be changed. Whenever you think of Fred, you'll smile. You won't get angry or stressed. We believe that our school systems do not understand the importance of this skill, and do not have instructors who can speak confidently and skillfully. Learning this skill should be right up there with learning how to read, write and do math. Unfortunately today, many of our kids are not even learning those skills. That's why it is important for adults to learn how to be effective communicators and transfer these skills to our kids. Tell your older kids the value of being a good speaker. Here's a thought...
